General Terms & Conditions applying to the University Edition of RhodesMRC 2025

  1. Eligibility
    • Participants must be registered as delegates, chairs, or staff & press members or observers for the RhodesMRC 2025
    • Participants must be aged 18-35 y.o., be advanced users of English and provide accurate personal information upon registration.
    • A delegate is assigned to a country and represents the country during the sessions.
    • A staff member serves as an usher during sessions and is involved in the overall preparation of the conference.
    • A member of the press works towards covering the conference preparation and proceedings.
    • An observer is an individual that can attend the proceedings, without any right to intervene in the procedure or interact with the board and delegates.
    • Applicants younger than 18 or older than 35 may apply as observers or staff members. Their participation as a delegate will be considered, upon availability.
  2. Registration and Fees
    • The application period starts on February 15, 2025 and ends as soon as all available seats are filled, or the latest on September 16, 2025, except otherwise decided.
    • The fees are set to 85-150,00€ per person and include: the Participant’s Kit, the Certificate, the Opening and Closing Ceremonies, incl. their receptions, all lunches and coffee breaks offered during sessions.
    • The fees do NOT include travel expenses, accommodation, transfer between venues, meals not included in the social program.
    • Bank and/or currency conversion expenses are charged to the applicant.
    • All registration fees must be paid in full within the deadlines specified on the official RhodesMRC 2025 website. Failure to do so may result in cancellation of your participation.
    • Registration fees are non-refundable, except in cases of event cancellation by the organizers or as per the refund policy outlined on the website.
    • Reduced fees apply for applications within specific application periods and with special conditions.
    • The members of the Organizing Committee, the Scientific Committee, the Executive Committee, the Secretariat and the Board members and the Staff & Press members, and guest speakers receive a full-fee waiver.
  3. Group Delegations
    • A group delegation is an organized group of participants coming from a department, school, college, university or a youth organization.
    • A group delegation has at least 5 members that will participate as delegates to be considered as such.
    • A group delegation with up to 15 members is considered a small delegation while a delegation with 16 members or more is considered a large delegation.
    • A group delegation has to be recognized by the Organizing Committee of RhodesMRC 2025 as such. The Organizing Committee of RhodesMRC reserves the right to decline the request for official group delegation to any group.
    • To start the process for the creation of an official delegation, contact us at applications@rhodesmrc.org, as soon as possible.
    • Each group delegation has an officially recognized liaison with RhodesMRC, aka the Head Delegate(s).
    • Group delegations collect their applicants’ fees and submit them, within specified dates.
    • Group delegations may replace members in case of cancellation within specified dates. After that date no replacements will be accepted.
    • During Last Call, all potential members of a group delegation apply only as individuals, if there are available seats.
    • Committee and country assignments are given by the internal procedure of each delegation, based on the seats attributed to the delegation by the Organizing Committee.
    • Group delegation members receive their assignments as a group by the Organizing Committee. The Head Delegate or with any other procedure within the delegation, is responsible to the final assignment to a country and committee.
    • Special conditions and extended periods apply to Group Delegations with an official affiliation to RhodesMRC.
  4. Individual Applicants
    • Only individuals that come from a department, school, college, university or youth organization, with no official group delegation to RhodesMRC 2025 can apply as individuals.
    • All Individual Applicants receive their assignments directly by the Organizing Committee.
  5. Applicants requiring a visa to travel in Greece
    • In case you are from a country the citizens of which are required to have a valid visa in order to enter Greece, the Organizing Committee of RhodesMRC 2025 is able to provide you with an invitation letter, safe the following criteria are met:
      – Your application form has been evaluated positively by the Registration Committee
      – You will provide any additional documentation or contacts requested by the Registration Committee
      – You have been accepted for participation to the conference and fully paid your fees.
      – You are the owner of a valid passport
      – Your local/nearest Greek authorities are positive with granting you a visa

    • Individual applicants that require a visa to travel in Greece, are not eligilble for reduced fees or any discounts.
    • RhodesMRC 2025 Registration Committee will accept no applications from applicants requiring Visa, after July 31st, 2025.
  6. Code of Conduct
    • All participants are expected to act respectfully toward fellow delegates, staff, and conference organizers at all times. Harassment, discrimination, or offensive behavior will not be tolerated.
    • Participants must abide by the rules of procedure and the directives given by the chairs and conference staff during sessions.
    • Any form of academic dishonesty, including plagiarism or misrepresentation, is strictly prohibited.
  7. Dress Code
    • Participants are expected to adhere to the conference dress code, which is formal business attire.
    • Inappropriate or offensive attire will not be tolerated, and participants may be asked to change or leave the conference if necessary.
  8. Use of Personal Information
    • By registering for the conference, you consent to the collection, use, and storage of your personal data for the purposes of conference organization, communications, and marketing.
    • Your contact details may be shared with conference partners or sponsors for networking or promotional purposes. You may opt out of this by contacting the conference organizers.
  9. Media and Photography
    • The conference organizers may photograph, record, or livestream parts of the event for promotional or archival purposes.
    • By attending, you consent to the use of your image or likeness in any media, including social media platforms, promotional materials, and websites.
    • If you do not wish to be photographed or recorded, please notify the organizers in advance.
  10. Health and Safety
    • Participants are responsible for their own health and safety during the conference. Any medical conditions or allergies should be communicated to the organizers in advance.
    • In case of an emergency, participants must follow the instructions of the event staff and comply with all safety protocols.
  11. Liability
    • The conference organizers are not responsible for any loss, theft, or damage to personal belongings during the event.
    • The conference organizers are not liable for any injury, illness, or accident that occurs during the event.
  12. Cancellation and Force Majeure
    • The organizers reserve the right to modify or cancel the event due to circumstances beyond their control (force majeure). In such cases, participants will be notified promptly, and refunds or rescheduling may be offered as appropriate.
    • Participants who cancel their attendance voluntarily will not be entitled to a refund unless specified in the refund policy.
  13. Amendments to Terms
    • The organizers reserve the right to amend these terms and conditions at any time. Any changes will be communicated via email or the official conference website.
    • Continued participation in the event constitutes acceptance of any changes to the terms and conditions.
